Exciting times – youâve been matched with a VA, have met them and are ready to start making your life more organised and less hectic. Our virtual assistant service UK is designed to help you save time and simplify daily life.

Donât worry if you donât have everything set up yet; lots of people donât! Weâre here to support you with your onboarding and can give you as much or as little help as you need.

Your VA works best when they can access the accounts and websites you already use. Not sure how to set this up? Not a problem – weâre here to walk you through the process. Here are some of the tools you may need your VA to access:
- Your email inbox
- Your diaries
- Online shopping accounts such as Ocado, Amazon and John Lewis.
- Lifestyle accounts such as Deliveroo, Uber and Ring.
- Your password vault. You can choose an access level youâre comfortable with; your VA doesnât need full access. Donât have a password vault? Just say, and we can help you with this.
If youâre not used to adding new users to your accounts, this part of the onboarding process can feel difficult. If you need support with this stage, let us know, and weâll be happy to lend a hand.
Sharing the details of whoâs who in your life and a list of regular contacts helps get your VA off to a flying start. We donât need anything complicated – a list of important people and what they do is all your VA needs. This could include:
- Immediate and extended family members, as well as any pets.
- Key contacts such as your nanny or childrenâs nursery, your cleaner or housekeeper, carers, tutors, school teachers, and doctors.
- Your go-to professionals, for example, your preferred tradespeople, hairdresser, therapist, PT, and vets.

Your list will grow over time, so start with two to three tasks your VA can take off your hands from day one. Not sure where to begin? Diary management is a great place to start. Giving your VA access to your family calendar provides them with insight into your familyâs commitments, while freeing up your headspace. Your VA can proactively book appointments on your behalf without needing to ask you to confirm availability. They can also identify opportunities to make schedule clashes easier to handle, such as arranging childcare on the days you need extra time.
If you already use a to-do list app, let us know which one and share it with us so we can slot into your existing processes. Prefer to keep your to-do list in your head (or on your kitchen noticeboard)? Just make a list of the things you need and weâll build our own list and invite you to it so you can check in on progress.

Weâll send you the link to your onboarding form, ready for you to complete before the kick-off call. This gives your VA the information they need to act on your behalf and helps them understand more about you and your preferences. It includes essential contact details, account details, travel, hotel and dining preferences. It also goes into more personal information, such as how you react when youâre stressed, what your pet peeves are and whether youâre the kind of person who needs a little reminder to follow up on things. You donât need to complete this in one go – it saves automatically, so you can complete it over a couple of days if you prefer.
Tip – completing this before your kick-off call gives your VA everything they need to hit the ground running so they can fully support you from day one.
With all this in place, youâll be prepared for your kick-off call. The kick-off call is normally fairly short because youâll have done most of the work already. Please plan to have access to your computer during this call in case you need to access your tools and platforms.
During the kick-off call, you should expect to:
- Book a weekly 10-minute catch-up call at a mutually convenient time
- Check your VA can access your accounts with their new passwords and troubleshoot any teething problems
- If youâve worked with a VA before – tell us what didnât work
- Say how youâd prefer to communicate
- Share your initial priorities

You should start to notice the difference immediately. As time goes on and you delegate more tasks to your VA, youâll find a rhythm that works for both of you and will soon be working together like clockwork.
