When your work spans public appearances, travel, media commitments, brand opportunities and multiple projects, life can quickly become difficult to manage without the right support behind you.
For one high-profile professional, dedicated lifestyle PA support became essential as work, travel, public appearances and personal commitments became increasingly difficult to manage.
What started as diary and lifestyle support has developed into a long-term working relationship that now extends across both his personal life and the wider team around him.

Who we supported: An individual balancing a varied public-facing career with personal and family commitments
About the client
Our client has built a busy portfolio career that extends far beyond sport.
Alongside public appearances and media work, his schedule includes podcasting, book tours, brand partnerships, events, talks and other professional commitments, all of which require careful coordination.
With different agents, teams, travel plans and opportunities constantly moving, managing the logistics around his life had become almost a full-time job in itself.
At the same time, he still wanted space for the things that mattered personally: family commitments, fitness, holidays, downtime and the ability to plan ahead rather than constantly react.
Why did he contact Timpi
The volume of opportunities was increasing, but so was the complexity behind them.
There were multiple people to communicate with, changing schedules, travel arrangements, personal commitments and a diary that was becoming increasingly difficult to control.
Without one central point of coordination, it was easy for things to clash.
Meetings could be missed. Opportunities could fall through. Travel arrangements could become stressful. Personal plans could be pushed aside because work kept filling every available space.
There was also a bigger issue developing underneath all of that: the pace simply wasn’t sustainable.
When opportunities came in, the instinct was often to say yes. Over time, that meant the diary could become overloaded with work, travel, appearances and commitments, leaving very little room for recovery, family time or personal priorities.
What he needed wasn’t simply someone to add things to a calendar.
He needed someone to take ownership of the detail, protect his time, challenge overcommitment where needed and act as a gatekeeper between the different parts of his life.
The Challenges
With professional commitments coming from different directions, his diary required constant attention.
Without someone overseeing the bigger picture, there was a risk of double bookings, missed calls, late arrivals and work commitments being accepted without enough consideration for what was already happening personally.
The result was a schedule that often felt reactive rather than intentional.
A major part of the challenge was that opportunities were coming in from all directions, and the default response was often to say yes.
Without someone stepping back and looking at the full picture, the diary could fill very quickly.
Work, travel, appearances and professional commitments naturally took priority, which meant downtime, fitness, family responsibilities and personal plans could easily be pushed aside.
Over time, that created a real risk of burnout.
The issue wasn’t simply being busy. It was operating at full capacity for too long, with no real buffer between commitments and no one protecting the time needed to reset.
Different agents and contacts were managing different opportunities.
That meant availability requests, event details, travel plans, brand opportunities and logistics were being discussed across multiple conversations and channels.
Without one person sitting across everything, it was difficult to maintain a clear overview.
One of the biggest challenges was making sure personal priorities were protected.
Fitness, family commitments, childcare, holidays and personal appointments all needed to be treated as non-negotiables rather than squeezed in around work.
Without that structure, it was too easy for the diary to become completely work-led.
Every booking created another layer of administration.
There were expenses to track, invoices to make sure were raised, travel to organise, riders and press packs to send, reservations to make and follow-ups to handle.
Each task might be manageable individually, but collectively they created a significant mental load.
How Timpi Supported Him
The client has been supported by Timpi since 2019, with Verity taking over the day-to-day PA relationship in 2025.
Over time, the role has developed into a central coordination point across both his professional and personal life.
Managing the diary and protecting his time
Heavy diary management sits at the centre of the support.
Verity liaises directly with agents by email and WhatsApp, acting as the first point of contact for availability and making sure commitments are properly coordinated before they are agreed.
At the end of each week, the upcoming schedule is reviewed in full so there is clarity around what is happening, where he needs to be and what preparation is required.
Just as importantly, Verity protects the non-negotiables. Fitness, family responsibilities, childcare, personal appointments and downtime are blocked out before work fills the diary. For someone who is naturally inclined to say yes to opportunities, having a trusted gatekeeper has been crucial in creating a more sustainable pace and reducing the risk of burnout.
Acting as the central point of contact
Over time, Verity has become the first point of call for almost everything.
Communication is regular throughout the working week, with the client often calling while travelling or driving to talk through opportunities, dictate emails or catch up on outstanding actions.
Verity then turns those conversations into clear next steps, liaising with agents, contacts and wider teams as needed.
Instead of the client having to remember everything himself, Verity becomes the person holding the detail and keeping everything moving.
Managing travel, logistics and day-to-day coordination
Travel is a major part of the support.
Before each commitment, Verity checks the full journey from start to finish: whether transport needs to be arranged, whether a chauffeur is required, whether he is driving himself and whether the timings are realistic.
She also sends reminders for calls, meetings and podcast recordings, particularly remote commitments that could otherwise be easy to miss during a busy day.
That level of coordination helps reduce late arrivals, last-minute confusion and avoidable clashes.
Taking care of the admin behind the scenes
Alongside diary management, Verity handles the administration that sits behind the client’s work and personal life.
This includes expenses, invoicing and liaising with the accountant, press packs, riders, reservations, personal appointments, fitness appointments, holidays and larger personal occasions.
The purpose is simple: remove as much of the detail and follow-up as possible so the client does not have to carry it mentally.
Supporting commercial opportunities and family life
Verity also supports with brand and partnership activity, including going back to agents to confirm whether opportunities are accepted or declined, checking that agreed social posts have been scheduled and coordinating incoming gifts.
At the same time, the support extends into family life.
She helps coordinate childcare logistics, school-related administration, holidays and important personal occasions, making sure these commitments are properly reflected in the diary rather than being pushed aside by work.
Supporting the wider team
As the relationship has grown, Timpi’s support has expanded beyond the client himself.
The Timpi team now also supports parts of the podcast operation, including travel coordination and diary management to make sure everyone is available and scheduled for recordings.
That expansion reflects the wider role Timpi now plays around the client: not simply supporting one individual, but helping coordinate the people, commitments and logistics surrounding a busy public-facing career.
The Result
The biggest change has been greater headspace and a much more sustainable way of working.
Instead of constantly trying to remember what is happening next, who needs a response or whether something has been organised, there is now one trusted person holding the detail.
His diary is more structured. His time is better protected. Personal priorities are planned properly. Professional opportunities are coordinated more effectively.
Most importantly, he has more breathing space.
Rather than saying yes to everything and dealing with the consequences afterwards, there is now more thought around how commitments fit together and whether there is actually capacity for them.
Time is protected before the diary becomes overloaded. Personal priorities are treated as genuine commitments. Space is built in between work, travel and appearances.
That means fewer clashes, less pressure and a lower risk of burnout.
For the client, the value is not just being more organised. It is having someone who can help create boundaries when the natural tendency is to keep taking more on.
That has created more room for fitness, family time, personal commitments and the parts of life that can easily get pushed aside when work is moving quickly.
The role has also grown naturally over time, with Verity becoming the central point of contact across work, travel, personal logistics and wider team coordination.
For a client with a busy, public-facing career, that consistency has become invaluable.
