Lifestyle PA support for a busy professional family – Timpi case study
Case Study

When work, family life, household admin and an ever-growing list of things to remember are all competing for attention, a lifestyle PA for busy families can provide much-needed breathing space. For one busy professional family, finding the right lifestyle PA wasn’t simply about getting help with admin. After a string of unsuccessful VA relationships, they needed someone they could genuinely trust to understand their family, take ownership and make life feel easier.

About the family

Like many busy families, our clients were juggling a lot.

Alongside demanding work and business commitments, there were children’s activities, household arrangements, appointments, important paperwork, research, planning and all of the day-to-day details involved in keeping family life moving.

The challenge wasn’t necessarily any one task. It was the sheer number of things constantly requiring their attention.

And behind all of that sat the mental load: remembering what needed doing, knowing what needed following up, keeping track of deadlines and making sure nothing important slipped through the cracks.

Why did the family contact Timpi

The family already knew that having additional support could make a difference. The problem was finding the right person.

They had previously worked with several VAs but struggled with poor communication, unfinished tasks and a lack of consistency. Instead of removing pressure, those experiences often meant the family still had to check what had been done, chase progress and hold everything in their heads themselves.

Understandably, their trust in the idea of having a PA had taken a knock.

They needed someone dependable. Someone proactive enough to take ownership, organised enough to keep track of the details and personable enough to become a trusted part of how their family operated.

Too much to keep track of

Between work, business, home life and their children’s commitments, there was always something requiring attention.

Research needed doing. Arrangements needed making. Documents needed organising. Tasks needed following up. And even when something only took ten minutes to complete, somebody still had to remember that it needed doing in the first place.

It meant a significant amount of their time and headspace was being absorbed by administration and organisation rather than the things they actually wanted to be focusing on.

Finding someone they could trust

Previous experiences had made the family understandably cautious.

They didn’t want another person they needed to manage. They wanted somebody who would communicate clearly, follow things through properly and gradually learn enough about their family to work with increasing independence.

That relationship and sense of trust was just as important as the practical support itself.

How a Timpi lifestyle PA supported the family

We matched the family with Rachel, one of our Timpi lifestyle PAs.

Rather than immediately trying to change how the family worked, Rachel spent time getting to know them: their routines, preferences, communication style and the way they liked things handled.

That understanding became the foundation for everything that followed.

A trusted point of support

Consistency was important from the outset.

Rachel made sure communication was clear and proactive, providing regular updates and remaining responsive when new requests came in. Tasks were followed through rather than simply started, giving the family confidence that once something had been handed over, they didn’t need to keep checking on it.

Within the first month, the difference was already being felt:

“Very impressed so far. Honestly feels like you’ve somewhat restored the idea of having a PA at all. She’s been excellent and very helpful.”

Bringing order to a busy family life

Rachel introduced personalised trackers, folders and simple organisational systems to keep information accessible and tasks visible.

Instead of important details living across messages, notes and somebody’s memory, there was greater structure around what needed doing and where things stood.

Crucially, the systems worked around the family rather than forcing them to adopt an entirely new way of working.

Taking ownership from start to finish

One of the biggest changes was being able to hand something over completely.

Whether Rachel was researching something, organising arrangements, dealing with documentation or following up with a third party, she took responsibility for progressing it and making sure it was completed.

It removed the need for the family to continually circle back to tasks or wonder whether something had been dealt with.

Four months into the relationship, they told us:

“Our PA Rachel has been an incredible help to us. Very organised and quick to respond, and gets the job done better than we could ourselves. Thank you!”

Learning about the family, not just the task list

As the relationship developed, Rachel built up a deeper understanding of the family’s routines and preferences.

That meant she could increasingly anticipate what might be needed next, spot upcoming commitments and understand how the family would want something handled without needing detailed instructions every time.

The relationship became less about delegating individual tasks and more about having somebody alongside them who understood the bigger picture.

Taking away the mental load

Some of the most valuable support wasn’t necessarily the most complicated.

It was knowing that research was being done, arrangements were progressing, documents were organised and someone else was remembering to follow things up.

On one occasion, after Rachel stepped in to handle something that had been causing particular pressure, the client told us:

“Thank you so much for the help. Honestly it was stressing them out, which in turn was stressing me. It was an enormous help.”

That is exactly what lifestyle support should do. Not simply complete another item on a to-do list, but remove the responsibility for thinking about it altogether.

The Result

The family now has a trusted person they can confidently rely on.

What started as practical support has developed into a long-term working relationship built around communication, consistency and a genuine understanding of how the family operates.

There is greater structure around their household and personal administration, fewer things for them to remember and significantly less time spent researching, organising, following up and managing the details of everyday life.

Most importantly, handing something to Rachel now means being able to mentally let go of it.

That has given the family more space to concentrate on their work when they are working, be more present when they are together and spend more of their evenings and weekends actually enjoying family life rather than catching up on administration.

After eight months of working together, sometimes the simplest feedback says it best:

“Thank you for your help as always.”

That “as always” is important. Because great lifestyle support isn’t about stepping in once when things become overwhelming. It’s about becoming the dependable person in the background who quietly makes sure life keeps moving.
