When everyday admin starts to pile up, even simple tasks can feel difficult to manage.
For one Timpi lifestyle client with ADHD, paperwork, finances, appointments and household admin had become increasingly overwhelming.
She often started tasks but struggled to finish them. She also tried to hold too much information in her head at once.
As a result, things were forgotten, paperwork piled up and everyday jobs became harder to face.
She didn’t simply need someone to complete tasks. She needed structure, consistency and support that worked around the way she processes information.
ABOUT
Industry: Individual lifestyle client
Support: Lifestyle PA and personal admin support
Who we supported: An individual with ADHD who wanted greater structure across everyday life, finances, household admin and personal organisation
About the client
Before working with Timpi, the client managed most things mentally. She didn’t naturally use a diary or planning system. Instead, she tried to remember appointments, deadlines and tasks herself.
That quickly became overwhelming. Messages went unanswered. Post stayed unopened. Forms remained unfinished. Household jobs slipped further down the list.
Finances also needed attention, while health appointments and practical admin kept getting delayed. At the same time, there was no clear system showing what she had completed and what still needed action.
Her family wanted to help. However, they didn’t always know what someone had already handled. The client therefore needed structure across her whole life rather than help with one isolated problem.
Why did she contact Timpi
The client contacted Timpi because everyday organisation had become difficult to manage alone. There wasn’t one urgent issue. Instead, several areas needed attention at the same time.
Admin was building up. Paperwork felt overwhelming. Finances needed more control. Health and household tasks kept slipping. She also struggled to see tasks through from start to finish.
As a result, even small jobs could remain unresolved for much longer than intended.
Her family supported her where they could. However, everyone needed a clearer view of what still required attention.
The client wanted someone who could help create that structure. She needed a consistent point of support who could break tasks down, keep track of progress and help things move forward.
The Challenges
Holding everything in her head
The client tried to remember appointments, tasks and deadlines without a reliable planning system.
That made things easy to forget.
It also made planning ahead much harder.
Information quickly becoming overwhelming
Messages, forms, documents and post could feel like too much information at once.
Once paperwork started building up, engaging with it became even more difficult.
As a result, tasks could sit untouched.
Starting tasks without finishing them
Follow-through was another challenge.
The client might begin a task with good intentions but lose momentum before completing it.
Without a clear system, she could also lose track of what she had already done.
Finances needing greater structure
Everyday spending had become ad hoc, while bills were difficult to stay on top of.
Several financial areas needed attention.
However, there was no simple structure bringing everything together
Forms and correspondence taking too much energy
The client often knew what she wanted to communicate.
Putting those thoughts into clear written responses was much harder.
Forms and emails could therefore take far more time and energy than necessary.
Everyday household and health admin slipping
Practical jobs regularly fell down the list.
These included health appointments, local registrations, waiting lists, household repairs and property paperwork.
Each task felt manageable on its own.
Together, however, they created a significant mental load.
How Timpi Supported Her
Over six months, the VA has helped create structure around the client’s everyday life.
The focus has been simple: reduce overwhelm, make tasks clearer and help the client follow things through.
Adapting communication to the client
The VA quickly learnt that shorter communication worked best. She now keeps messages clear, direct and close to bullet points.
Meetings also get straight to the point. This helps the client stay focused without feeling overloaded by unnecessary detail.
A weekly FaceTime check-in provides a regular rhythm. In addition, messages between calls keep tasks moving throughout the week.
Creating clear, manageable task systems
The VA keeps separate task lists for herself and the client. Each list shows who owns the task and when it needs attention.
At the start of every session, they review progress together. They discuss what the client has completed, what still needs action and what the VA will take over.
This gives both sides a much clearer picture. The VA also spaces reminders out rather than sending everything at once.
Crucially, the client knows she doesn’t need to tackle every task immediately.
Working through paperwork together
The VA doesn’t simply tell the client to deal with paperwork. Instead, they work through it together.
They can open post during a call, review documents and agree the next step immediately. The VA also turns long documents into short, plain-English summaries.
This makes the information easier to process. When the client needs to respond, she can talk through what she wants to say.
The VA then turns those thoughts into clear, appropriate wording.
Over time, she has also created email templates for common correspondence. That means the client no longer needs to start from scratch each time.
Bringing structure to finances
The VA has also helped the client improve her financial organisation. She helps manage expenses and has supported the consolidation of cards.
Together, they have created more structure around everyday spending.
For example, the client now uses one consolidated shopping list instead of making ad hoc purchases.
The client has also authorised the VA to speak to certain providers. As a result, the VA can chase issues and keep bills moving without unnecessary delays.
Managing health, household and practical admin
The VA now handles many practical jobs that previously struggled to move forward. She helps organise health appointments, local registrations and waiting lists.
She also works through property paperwork and household issues with the client. When something goes wrong at home, the VA helps narrow down the likely problem.
She can then research the options and use trusted local contacts where appropriate.
This saves the client from having to research everything herself.
Creating joined-up support with the family
Family members can also liaise with the VA where appropriate.
That gives everyone a clearer view of what is happening.
The VA can explain what she is handling, what still needs action and where family support may help.
As a result, everyone works from the same information.
This has made the overall support much more coordinated.
The Result
Six months into the support, everyday life has far more structure. The client now has clearer task lists and better oversight of her finances.
She is also making progress with paperwork, household admin and health-related tasks.
Her family has better visibility too. Most importantly, the client no longer has to carry every task mentally.
The VA helps organise the information, keeps communication clear and follows things through. She also provides gentle reminders when the client needs them.
As a result, everyday admin feels far more manageable. Instead of facing a growing list of unfinished tasks, the client now has structure and accountability.
She also has a trusted person alongside her who understands how to support her effectively in financial organisation and more consistency around paperwork. Health and household admin are also moving forward, while family members have greater visibility.
Most importantly, tasks no longer have to live entirely in the client’s head. The VA breaks information into manageable pieces and keeps communication clear. She also follows tasks through and provides gentle reminders when needed. As a result, the client has a much more sustainable way to manage everyday life.
Instead of facing an ever-growing list of unfinished admin, she now has structure, accountability and a trusted person alongside her.
